How to identify slow-moving salon stock before ordering again

Langzaam lopende salonvoorraad herkennen vóór je opnieuw bestelt

A bottle that has stayed in the same place for months is not necessarily a purchasing mistake. But when a salon repeatedly orders an item while older packs scarcely move, there is an inventory issue a simple stock count will miss. To recognise slow-moving salon stock, compare the verified use or sale of each exact product version over a defined period with the quantity still fit for use and the services actually booked for the weeks ahead. Neither a full shelf nor an empty one is enough to determine what to reorder.

Start with three questions: when was the last confirmed issue, sale or use; how much serviceable stock remains; and which upcoming appointments genuinely require the product? No movement could describe a necessary reserve for an infrequent specialist service. Equally, it could signal an overly broad range, routine repeat orders without checks, or packaging nearing a relevant use-by boundary. You need to identify the cause rather than automatically disposing of everything that has sat for an arbitrary thirty days.

An exact item reference, a movement log, a count of serviceable quantities and the appointment diary are sufficient to begin. We use the Shinique Pro four-booster set and the separately offered Form Me Up Organic 01 and Form Me Up Organic 02 balms as examples. The published pack sizes identify what is offered; they do not establish a number of treatments obtainable from a bottle.

What makes stock slow-moving in a salon?

'Slow' describes the relationship between inventory and demand, not a characteristic of a brand. A product used once every six weeks for a specialist service may be precisely the reserve one particular salon needs. If the same item was purchased as a daily-use product yet remains untouched, it deserves attention sooner. Mark each item's purpose: needed for booked appointments, occasional specialist treatment, general professional back-bar use, or customer retail. Applying one fixed rotation target across these roles will lead to misleading decisions.

Distinguish no recorded movement, low recorded movement and unknown movement. The first means that no verified issue, sale or use was logged during the measurement window. The second means real usage exists but is lower than purchasing volume or an evidence-based expectation. The third means the team may be using products without recording them; that is a data-quality problem first, not proof that customers do not want the service. Feeling that a bottle is lighter today does not reconstruct a reliable month's use.

When a pack contains different products, examine the pieces as well as the box. One booster in a four-part set may be used frequently while another remains almost untouched. A total marked 'one set available' disguises that imbalance. Where the individual containers are opened and used separately, record their movement separately instead of presuming that all four run down together.

Count usable units, then document actual movement

On a named date, separate three balances: unopened units still fit for their intended use, opened containers with usable contents, and items held apart because of damage, uncertain identity, a batch question or an unclear label. Goods awaiting a decision are not unrestricted working stock. The established guide to closing the monthly count and open orders provides a useful starting balance, but this article asks a different question: what has actually moved between counts?

For an agreed period, work with opening balance plus receipts minus closing balance to obtain an apparent reduction. Check the result against returns, material disposed of, transfers between workstations and counting adjustments. Otherwise a box moved to another cupboard may appear as service demand. With liquids, 'one bottle opened' does not mean 'one bottle used up'. Select a suitable consistent method for the remaining quantity and record the unit; do not silently equate grams, millilitres, packs and treatments.

Compare measurement windows of equal length. Four complete weeks capture a regular appointment cycle, while calendar months fit an established closing routine. Either is useful when start and end dates are recorded. Mark holidays, exceptional closures and the actual days on which services were performed, so a closed week is not mistaken for a collapse in demand.

Treat inactivity, stock cover and previous orders separately

'No recorded use since 1 September' measures inactivity. 'Six bottles available while using one bottle in four weeks' describes an estimated level of cover. The second statement is meaningful only if the usage figure was genuinely measured and future treatment requirements are reasonably similar. A coverage estimate for occasional specialist appointments is not a promised future order date.

Review the last two or three purchases too. A product ordered again although several older packs remained may reveal a defective approval process rather than growing demand. A single pack deliberately held for an uncommon procedure and still within its permitted conditions of use tells another story. Track age of the stock, last confirmed issue, outstanding purchase orders and expected needs in separate fields. A recently received carton does not make an older unmoving carton fast-moving merely by appearing on the same shelf.

Three products need three different demand checks

Shinique Pro is offered as four boosters of 20 ml each. It is not a universal ingredient for any hair-colour appointment, and the components perform distinct functions. When assessing movement, do not stop at counting sealed boxes. Identify which booster is actually selected, which combinations are allowed by the applicable product instructions, and whether purchasing a new complete set would create further surplus of rarely used components. The current set listing does not establish that every individual booster is also sold on its own.

Form Me Up Organic 01, 300 ml and Form Me Up Organic 02, 300 ml are separate professional permanent-wave preparations. Their descriptions associate 01 with natural, resistant hair and 02 with coloured or more sensitive hair; suitability still depends on a professional hair assessment and the complete product directions. If 01 remains on the shelf while 02 moves, do not combine them into one interchangeable 'perming stock' line. The salon may simply have had fewer appointments appropriate for 01 during the period. Check the actual service mix before reaching that conclusion.

Distinguish movement of an individual item from readiness to perform a complete service: having balm in stock does not mean that all required system components are available. The Form Me Up step-by-step description published on DianaCosmetics provides additional product-family background; it does not establish the current original instructions for the version you received. Application and safety depend on the appropriate current product instructions and that version’s label. This stock guide provides no recipes, processing times or chemical substitution advice.

Hypothetical movement log and its purchasing implications

The figures below are entirely invented illustrations, not demand, sales or available stock data for Prohaar or an actual salon. For a four-week window, log the movement of precisely identified units. A bottle that has been opened but still contains product needs its own remaining-quantity record; counting that remainder as another full unopened bottle would double-count stock.

Perm balm 014 unopened bottles0 bottles opened4 unopened bottlesAre appropriate treatments booked?
Perm balm 023 unopened bottles2 bottles opened1 unopened plus measured remnantsCheck the required quantity and replenishment time

This table does not establish that 01 should be discarded, that 02 is exhausted or that the booster sets cannot be used. It shows an absence of recorded movement in the unopened sets and balm 01. The remaining contents of the 02 bottles still need to be checked for usable quantity and condition. Opening a container is an event, not proof that all 300 ml were consumed.

Add two questions to each line: what is the next confirmed requirement and how long would a genuine replacement take, including placing and receiving an order? Without booked demand and with sufficient usable stock, postponing another purchase may be sensible. With a booked service that needs 02, check the actual quantity available, the other required system components and the replenishment time. This is distinct from the reorder-point calculation used to avoid a shortage: a minimum-stock signal should not automatically increase an already slow-moving range.

Choose to retain, limit, move or stop buying

Four different decisions are possible. Retain a specialist item with a confirmed purpose and adequate usable stock. Limit new purchases temporarily, or investigate a smaller order size, if upcoming appointments allow it. Move a correctly identified and suitable unopened pack to the appropriate workstation under local procedures. Stop reordering a variant when the relevant service is withdrawn or credible long-term observation reveals no requirement. None of these decisions automatically calls for disposal or a promotional sale.

A discount does not resolve an unsuitable application, unclear shelf life or a damaged container. Do not present professional chemical salon stock as unrestricted consumer merchandise simply because it is taking up space. Check the intended use, packaging, label, storage conditions and opening records first. Where condition or identity is uncertain, withhold the pack from usable inventory until the responsible person resolves the uncertainty.

Packaging, batch and opening records set the boundaries

Slow movement makes prolonged storage more likely. The EU cosmetics labelling rules distinguish minimum durability, the period after opening and batch identification. Check the actual shelf-life and after-opening markings on the specific container supplied. A batch number identifies production but is not by itself an expiry date. A period-after-opening symbol, where applicable, relates to opening, while unopened units must be assessed using their applicable markings. Do not invent one universal duration for every salon cosmetic simply because it sounds conventional.

Each container in a four-booster set may be opened on a different date. Where relevant, record the actual container opening, not merely the day the outer carton was opened. A remnant that can no longer be reliably identified stays outside freely usable stock until the responsible person has checked the instructions and batch. The separate guide to batch numbers, opening dates and hold decisions explains traceability; a spreadsheet entry itself cannot certify a product as safe.

Turn this into a short repeatable buying review

At a regular interval, bring together the person who orders products and the person who plans treatments. Start with items without recorded movement since the last review, products with numerous partly used containers and product lines for which a fresh order is being prepared despite older stock remaining. A short list of issues that receives real decisions is more useful than a large report no one acts upon.

Follow a consistent order: establish the exact product version; verify usable sealed stock and opened remnants; repair missing issue records; review last movement and upcoming appointments; inspect applicable packaging information; decide whether a purchase is required; and name the person and date for the next review. Record reasons such as 'no confirmed demand', 'previous over-order', 'temporarily unfit for use', 'service range under review' and 'insufficient measurement'. This makes it possible to identify the same problem if it recurs at a later review.

A small record needs the item, unit, measurement period, last movement, balance, planned demand, open order, decision and owner. If something is unknown, write 'check required' rather than inserting a plausible-looking quantity. An item with zero recorded issues but incomplete data first receives a “review required” status, rather than a definitive “inactive” label. Combine actual issues from different treatment stations without counting transfers between them as new salon-wide consumption.

Frequently asked questions

After how many inactive days does an item count as slow-moving?

There is no universal number for every salon, service and package. Choose a consistent observation period and compare verified movement with the role of the product. A preparation for an infrequent treatment may still be essential. Days without use trigger a review; they do not establish an expiry date.

Can I count a newly opened bottle as entirely consumed?

No. Opening and using up the contents are separate events. Record opening where needed, then record the quantity actually issued in one consistent unit. Show the remaining material separately. Missing measurements cannot be fixed by assuming that one gram always equals one millilitre. Where the remnants' suitability is uncertain, hold them for review.

Are Form Me Up 01 and 02 interchangeable because both contain 300 ml?

No. They are distinct versions intended for different hair profiles, as the descriptions and system instructions demonstrate. A professional assessment and the original directions determine suitability. Excess 01 is not permission to substitute it for 02 or merge their movement histories.

Does a sealed Shinique Pro set prove all four boosters are available?

It confirms the contents of that particular sealed set, not the separate supply of previously opened boosters at other workstations. Check each of the four containers in a set already in use. The advertised 4 × 20 ml size does not predict how quickly an individual component moves through your salon.

Should every slow-moving product be immediately discounted?

No. First establish intended use, product condition and real demand. A price reduction cannot replace correct handling, labelling or shelf-life checks for professionally used products. This guide informs a purchasing decision; it does not instruct anyone to change prices, place goods on sale or perform automatic stock adjustments.

When is a new order justified despite slow movement?

When a confirmed appointment or necessary system component requires more than the reliably usable amount, and replenishment takes time. Include outstanding orders in the assessment. A limited specialist reserve may still be warranted, but its size should reflect evidence-based demand and the period during which stock can genuinely be used.

How is a slow-stock review different from a monthly count?

A count records what exists at one point. A movement review connects successive balances to use, receipts, open orders and planned services. Two shelves with the same number of bottles may represent very different realities: frequently replenished goods or untouched inventory sitting for months.

Before ordering again, prepare a short review sheet for the exact versions you use. Check the current Prohaar descriptions of Shinique Pro 4 × 20 ml, Form Me Up Organic 01 300 ml and Form Me Up Organic 02 300 ml. Select only what matches your planned treatments and measured stock, and retain the appropriate original technical instructions where needed.
